Phonic Zoom – easy-to-read privacy statement (children’s data)

Introduction

We want to make it easy to understand how we look after your personal data such as your name, school name and class group. Our full privacy policy is available on our website.

If you are a parent reading this we only collect minimal data and do not share that data. As a parent you may have a right to delete your child’s data from our system. Please contact their school if you require this.

Who we are

For Schools Support Ltd are a company based in the UK who aim to make your education the best it can be by making systems for schools that help them in teaching and learning.

What we collect

We collect the smallest amount of information we can. For children we give their schools and parents a place to enter their first name, surname and their year group or class. Using this data the school or parent will have a username that allows you to access our services (Phonic Zoom).

If you want to change your username so it doesn’t contain your name you can ask your school or parent to do this.

Why we collect the information

This information is only collected to make sure your school or parent can identify you for managing your learning under their own login. Your teacher or parent can use this to see where you might need help or support in your learning.

Where we keep it

We keep all of your data in the UK in two main locations (the North West of England and London).

How we keep it

We do our best to make sure all of our systems and data are secure and follow processes made to make data as safe and secure as possible.

We do make your school or parent(s) set secure passwords for them to manage your login and also for you to log into our apps, but these passwords are only secure if you don’t share them with anyone. If you do think someone knows your password or you find out someone else’s password please tell your school or parent so they can reset it.

How long we keep your information for

Your school or parent can delete your data at any time. If you no longer use our application (because your school or parent have stopped using it) we will delete it within 12 months of you using it or before that if you, your school or your parent ask us to.

Removing names for our own purposes

We sometimes look at how people are using our services to try and make them better to use. When we do this we gather data on which bits of the services people use most. This data is only ever gathered without anyone’s names or school details included (anonymised) so we cannot tell who is using it where.

Our partners

We sometimes need to send your data (name or school name) to one of our partners for us to make sure you can use our services at any time. When we do this it is done in a way that makes sure the data is safe and secure. These partners might be our web-hosting company or our system for giving our customers support.

Whenever we interact with your school or parent(s) we do this using their details rather than yours.

If we are ever asked to share data for legal or financial reasons we may have to do so, but will only ever share the smallest amount we can to do what we are asked to by law.

Cookies and marketing

We store a thing called a ‘cookie’ on some devices when you use our services. These let us see what parts of the site you visit and allow us to make sure we make the site the best it can be.

We only market to your school or parents in the way they have told us to. We will never market to you directly and do not market to children at all. We never sell any of the data we keep.

Your data and your rights

We believe your data is yours to own and manage. The ICO (an organisation who help companies make sure they are handling data correctly) outline some things we should make clear that you have:

  • The right of access (to know what data we hold on you)
  • The right to rectification (to correct errors in what we hold)
  • The right to erasure (to have your data deleted or removed from our services)
  • The right to restrict processing (to tell us how we can use your data)
  • The right to data portability (to be given a copy of your data to take away)
  • The right to object (to disagree with us using your data)
  • Rights in relation to automated decision making and profiling (to stop your data being used to build a picture of the sort of person you are and what you might like)

We promise to:

  • Always give you access to your own data if you ask. Contact us and we will provide you a record of everything we hold on you for as long as we hold it. We cannot provide personal information of anyone else or if we have a lawful reason to withhold particular information.
  • Always allow you to correct your personal information. If your name changes or you know some data we hold on you is wrong you can contact us and ask us to update it (or ask your school or parent to update it).
  • Let you delete your data from our system if you wish. If you do want us to delete your personal information from our system you can contact us to request this. Do remember that will mean you also lose access to our applications unless your school or parent give you an account that doesn’t have your name on it.
  • Never process your data anywhere outside of your school’s/parent’s login and your login for the app.
  • Always allow you to take your data from us in a format that is useful. Contacting us to ask for this will result in you receiving a single file with your personal data in it.
  • Accept any objections you might want to make about our processing of your personal data.
  • Never profile you nor make automatic suggestions based on your personal data. Should we ever include these kinds of feature in our apps they will be included without the need for processing personal data and will only use nameless usage data to make suggestions.

Changes to our policies

If we make any changes to what you have read here we will notify your school or parents through their subscribed email addresses.
